What we collect

Account details you give us: business name, email address and Company number. Activity on the platform: orders you place or receive, plant schedules you upload to price, availability watches, enquiries and messages sent through HortOS. Standard server logs (IP address, pages requested) kept for security and abuse prevention.

Grower directory information

Grower profiles show business information that growers publish and circulate in the trade: nursery name, location, contact details and availability lists. This is business information, not personal information about individuals. Any grower can claim their profile to control it, correct it, hide quantities or prices, or remove it entirely - immediately and free of charge.

How we use information

To run the platform: matching schedules to availability, routing orders to growers, sending the transactional email the platform exists to send (sign-in links, order updates, claim confirmations, availability alerts you asked for). We do not sell personal information. We do not send marketing without consent.

Who sees what

When you place an order, the grower sees your business name and contact details - they need them to fill the order. When a grower accepts, you see theirs. Service providers that host the platform and deliver email process data on our behalf. Beyond that, information is disclosed only where the law requires it.

Cookies and tracking

HortOS sets one cookie: your session, so you stay signed in. There are no advertising trackers and no third-party analytics cookies.

Storage and security

Data is hosted in the United Kingdom (London). Access is limited, transport is encrypted on the live domain, and nightly backups are kept for 14 days. No system is perfectly secure; if a breach ever creates a likely risk of serious harm we will notify affected users and the Information Commissioner's Office as the UK GDPR and the Data Protection Act 2018 require.

Access, correction and deletion

Email us to access or correct your information, close your account, or remove a grower profile. We follow the UK GDPR and the Data Protection Act 2018; if you have a complaint, contact us first and we will respond promptly - you can also raise it with the Information Commissioner's Office (ico.org.uk).
